thing that constantly stuck out from event to event was ‘the right people for
the right job’. This was made clear at a few specific events, and we felt we
needed to share with you!
Some of our clients come to us already having a few vendors lined
up, and that’s completely OK! But I cannot stress enough how there are certain
vendors for certain jobs. All the ins and outs of your event will determine the
vendors you should select for any given area.
For example; Catering. Here in Lexington, we have some amazing
caterers! However, there are certain groups who handle certain events
differently. What type of meal service (plated, buffet, family style, hors
d’oeuvres) are you offering? How large is your event? What is the venue like? Is
there a kitchen for the staff, or will they need to bring something mobile? What
other features will the Caterer be taking care of (Bar, Beverage Station,
Desserts, coffee service, etc)? What type of budget do you have? All of these
questions, and so many more, need to be answered to determine who will best suit
your needs. Believe it or not, there are caterers who are known for plated
meals, and caterers who hands down are the best at hors d’oeuvres… But how are
you supposed to know this?!
Entertainment is another great example. Do you know what types of
plug capabilities they need to have? What about a stage? How much floor room do
they need? What are their travel requirements, hotel accommodations, and
hospitality needs? Depending on the type of entertainment, they may also have
policies on how much/long they will play and when. What about ‘house’ music when
they are not playing? These are all things you need to know when hiring
entertainment for your next event. These are not things you would typically
think to ask, but things that add money to your budget and items to your task
Of course there are several other categories for each event in
which you need to consider when planning. Now that you know which vendors you
want to use, the next thing to consider is how they work together. If you have
ABC catering for your next wedding, and you have X Cake company delivering the
wedding cake – do you know if ABC catering will cut the cake for you? If they
won’t, who will?
Hiring a photographer and videographer from different companies? What are their restrictions and requirements on this type of thing? Do you have someone who will make sure both are out of each others way, but at each moment to capture your special day?
These are all things to think about when planning your next wedding or event. You need to make sure that each vendor is providing what you think they are providing, and that all your bases are covered.
